Subscription & Billing Terms

These terms explain how paying for Data Accommodation works. They form part of our Terms of Service, which they supplement. Where an order form or a quotation signed by both of us says something different, that document applies for your account.

1. Plans

Each plan includes a set of modules and limits (for example, the number of properties, rooms or users), as shown on our pricing page or in your order form. Your current plan, its modules and its limits are always visible in your account under Settings.

We may change the plans we offer to new customers. A change to your own plan, its price or its limits takes effect only as described in “Changing plans and prices” below.

2. Free trial

  • A new account starts with a 14-day free trial of the plan shown when you sign up. No payment details are needed to start it, and you are not charged automatically when it ends.
  • We email the account owner before the trial ends. When it ends, a short grace period follows; after that the account becomes read-only until a subscription is started. Your data is kept.
  • We may extend a trial at our discretion, and may end a trial early if it is being used in breach of our Acceptable Use Policy.
  • During a trial the service is provided for evaluation, as it is, and any service-level or support commitments made for paid plans do not apply.

3. Starting a subscription

To start or renew a paid subscription, contact us through the contact form (choose “Billing and subscriptions”). We confirm the plan, the billing period (monthly or yearly) and the price, send you an invoice and activate the subscription. Online card checkout for subscriptions is not available in the platform at present.

4. Prices and taxes

  • Prices are those shown on the pricing page on the day we confirm your subscription, or in your order form. They are in US dollars unless your invoice or order form states another currency.
  • Prices do not include taxes. Where we are required to charge value-added tax or another tax, it is added to the invoice. You are responsible for taxes that apply to you, other than taxes on our income.
  • Fees charged by others — payment providers, banks, channel partners and SMS or email providers you use — are not included and are paid under your own agreements with them.

5. Invoices and payment

  • Subscriptions are billed in advance for each billing period. Payment is due by the date and by the methods stated on the invoice.
  • Once we receive payment, your subscription shows as active in Settings, with the date the current period ends.
  • If you believe an invoice is wrong, tell us before its due date and we will review it with you.

6. Renewal and late payment

Before the end of each billing period we email the account owner and send a renewal invoice for the next period. A subscription is renewed only when that invoice is paid; nothing is charged automatically.

If a period ends without payment, the subscription becomes past due. You keep full access for a short grace period; after that the account becomes read-only until payment is received. Read-only means your team can still sign in, view and export everything, but cannot create or change records.

7. Changing plans and prices

  • You can ask to move to a higher or lower plan at any time. Before the change, we confirm when it takes effect and any difference in price.
  • If moving to a lower plan would take you over its limits (for example, more properties than it allows), you will need to reduce your usage first.
  • We will tell the account owner about any increase to the price of your subscription at least 30 days before the start of the billing period it applies to. If you do not agree to it, you can cancel before then.

8. Cancellation

You can cancel at any time by telling us through the contact form. Cancellation takes effect at the end of the billing period you have already paid for, and we will not invoice you for later periods. Your account remains fully available until then.

9. Refunds

Fees for a billing period that has started are not refundable, and we do not give partial refunds for unused time or unused features, except:

  • where you end the subscription because we materially breached our Terms of Service and did not fix the problem within 30 days of your notice — we refund the fees you prepaid for the time after termination;
  • where we end your subscription for a reason other than your breach — we refund the fees you prepaid for the time after termination;
  • where we charged you in error, for example twice for the same period; or
  • where the law gives you a right to a refund. Nothing in these terms takes away rights you have under consumer-protection or other law that cannot be excluded.

10. Your data when a subscription ends

  • An expired or cancelled subscription makes the account read-only; it does not delete your data. You can export guests, reservations, folios, invoices, payments and other records from Settings.
  • If you want your account closed and your data deleted, ask us. We confirm the request with the account owner, give you the chance to export first, and then delete the data except records the law requires us to keep, as described in the Data Processing Agreement.

11. Suspension

Separately from late payment, we may suspend an account that breaches our Acceptable Use Policy or puts the service or other customers at risk, as described in the Terms of Service. Suspension does not delete data.
